Young adults with autism, learning disabilities, traumatic brain injury, cerebral palsy and other special needs can successfully transition to independent adulthood with tailored support provided by CLE.

Job Summary

The CLE team is looking to add a conscientious, detail-oriented, passionate and positive individual who enjoys making a difference, being part of a team and takes pride in their work.

The Administrative Assistant should be a jack of many trades and will be responsible for providing administrative support to the Program Director and across the CLE Center. Duties include, but are not limited to: greeting visitors (with a genuine smile), managing the phone lines (like an expert juggler), maintaining general files and student records (with organization and confidentiality top of mind), scheduling student and staff appointments (like you’re an expert in Tetris), assisting with payroll processing with timeliness and accuracy (like a tightrope walker), performing essential duties of office organization and staff support (like a Room Mom).

Essential Responsibilities

  • Answers, screens, and appropriately directs all telephone calls enthusiastically and informatively, taking messages as needed. Also arranges conference calls as directed.
  • Greets all visitors and students in a welcoming, professional manner, assuring proper sign-in at the front desk and directing them to the appropriate area or person.
  • Assists with processing all incoming/outgoing mail; receives courier packages, picks up and routes incoming mail to appropriate persons, and prepares outgoing packages, mail, and correspondence, including e-mail and faxes.
  • Provides general administrative support to Director and other staff as needed, including but not limited to, ordering and maintaining supplies and equipment, preparing and making copies of correspondence or other printed materials for timely mailing or distribution, organizing and maintaining various office files.
  • Creates and maintains student files, assuring receipt and proper filing of contracts and other required documents.
  • Assists Director in processing staff timesheets by auditing timesheets for accuracy in comparison to schedule and absentee log and alphabetizes time sheets for approval.
  • Collects travel information from students for school breaks and coordinates transportation to the airport.
  • Maintains good public relations through positive and welcoming interactions with parents, students, staff, and other community contacts or visitors.
  • Ensures compliance with the company’s quality assurance process in accordance with standard operating procedures.

  • Bachelor’s Degree in Social Science, Education, Human Services, Social Work or other related field

  • Minimum of two years of relevant experience working

  • Excellent interpersonal skills and the ability to communicate effectively with diverse population

  • Excellent organizational, communication, written and oral skills

  • Experience in supporting and managing daily office operations

  • Proficiency in Microsoft applications such as Word, Excel, Outlook, and PowerPoint
